Document expiries have a particular cruelty to them. The consequence never lands when the document expires. It lands months later, at a border, a rental desk or a job application, when there is no time left to fix it.
The dates people miss most
- Passports. The one everybody knows about and still gets caught by.
- National ID cards and residence permits.
- Driving licences, including the photo card, which often expires long before the entitlement does.
- Visas and entry permits, where overstaying has real consequences.
- Vehicle paperwork — registration, roadworthiness tests, emissions checks.
- Professional registrations and certifications, which quietly lapse and are tedious to reinstate.
- Insurance policies that auto-renew at a worse rate than shopping around would get you.
The expiry date is not the deadline
This is the part that catches people. For a lot of documents, the date printed on them is not the date you need to act by.
Many countries will not admit a traveller whose passport expires within a few months of arrival, so a passport can be functionally unusable while still technically valid. Renewal processing times swing with demand, and peak season is exactly when everyone else has realised the same thing. Some permits require you to apply before expiry rather than after, or you start the process from the beginning.
Set the reminder against the deadline to act, not the date on the document. For a passport, that may be most of a year earlier.
What is worth recording
Keep it to what you need in order to take action:
- What the document is, in words you will recognise in a notification
- The expiry date
- Where the physical document actually is, if that is a thing you forget
- Who issues it, if renewal means going somewhere specific
Document numbers are rarely needed for a reminder to do its job. Leaving them out costs you nothing and removes a category of risk entirely.
How Timely handles it
Upload the document as a photo or a PDF and the AI reads the expiry date out of it, rather than making you squint at small print and type it in. Renewal reminders can be set much further out than food reminders, because the useful warning for a passport is nothing like the useful warning for a yoghurt. Each category carries its own schedule.
Common questions
How far ahead should I set a passport reminder?
Further ahead than feels necessary. Many countries require a passport to remain valid for several months beyond your date of travel, so the practical expiry is earlier than the printed one. Renewal times also vary a lot by country and by season. Six to nine months of warning gives you room for both.
Is it safe to keep document details in an app?
Record what you need in order to act, and no more. For almost every document the date and the name of the thing are enough to get a reminder that works. You do not need to store the number, and we would suggest you do not. Timely syncs over an encrypted connection to your own account and never sells data, but the safest field is still the one you leave empty.
Can I attach a photo of the document?
You can attach a photo or a PDF to any item, and it is genuinely useful for things like insurance certificates and vehicle paperwork where you want the document to hand. Think twice before photographing identity documents, and remember you can track the date without attaching anything at all.
Track it before it catches you out
Timely is free on the App Store. Scan a label, a receipt or a document and it remembers the date for you.
